Terms and Conditions of Participation for the Estonian Agricultural Annual Exhibition EPA 2026

4. EXHIBITORS AND THEMES
Exhibitors may include any legal or natural persons
offering products or services belonging to the following
sectors:
agriculture,
food industry:
animal feed and feed additives;
fertilizers and plant protection products;
seeds and seedlings;
digital technologies:
agricultural technology and machinery:
livestock technology and farm equipment;
veterinary medicine;
bioenergy;
forestry technology and forestry;
horticulture and gardening equipment;
landscaping;
financial services;
lifting equipment;
tools and equipment;
oils and lubricants;
maintenance services;
infrastructure construction;
support services;
training;
professional associations.
A co-exhibitor is defined as a legal or natural person who exhibits their services/products on the exhibition space rented by the primary exhibitor. The co-exhibitor is required to pay the participation fee in accordance with Section 6 of this agreement.
An exhibit is a physical object displayed by the exhibitor on their rented exhibition space, on supporting structures erected there, on design elements, on the internal walls of the stand, or above the stand. Placing exhibits outside the boundaries of the stand or removing them from the exhibition before the official end of the exhibition or trade fair period is prohibited.
The removal of exhibits from the display before the end of the exhibition hours is prohibited. The exhibitor undertakes to remain at the stand until the official close of the exhibition. Exhibitors who leave the stand early will be subject to sanctions of €100 + VAT for each hour of early departure. Exceptions are permitted only by prior written agreement with the organizer.
5. EXHIBITOR REGISTRATION
Participation in the exhibition is based on the participation agreement-registration form returned to the Organizer, by which the person wishing to participate confirms their intent to do so under the conditions specified on the registration form. Upon receipt of the participation agreement-registration form, the Organizer will send the Exhibitor a written confirmation regarding the reservation of the exhibition space. The duly completed registration form must be returned to the Organizer no later than August 21, 2026.
Late applications will only be accepted if exhibition space is available.
The Exhibitor does not have the right to rent out or transfer the stand or any part of it to third parties without the prior written consent of the organizer.
6. PARTICIPATION FEE
Non-refundable participation fee for exhibitors and co-exhibitors:

Participation fee for EPKK members per unit: €300
VAT will be added to the prices at the applicable rate. The participation fee covers the project management and marketing costs of the exhibition. The participation fee entitles the exhibitor to receive exhibitor passes, builder passes, and exhibition invitations in accordance with the provisions of Section 10 of these terms and conditions.

*Standard stand rent includes the rental of boundary wall elements, a named header board, and spotlights (1 unit per 4 m2), as well as the cost of stand construction. Standard stand rent does not include the rent for the exhibition space.

8. SEMINAR PRICE LIST
Exhibitors have the opportunity to organize product presentations or information seminars in the exhibition seminar rooms, based on the overall exhibition program.

The seminar price includes a 45-minute session, room rental, projector, seminar registration, and management. Additional technical solutions will be added to the invoice according to the quote.
9. EXHIBITION CATALOGUE
The Organizer will publish an exhibition catalogue. Contact details and information about Exhibitors who have duly completed the exhibition catalogue form by September 7, 2026, will be published in the catalogue. In case of failure to meet the aforementioned deadline,
the Organizer does not guarantee the publication of the Exhibitor’s data in the exhibition catalogue.
10. PARTICIPANT PASSES AND EXHIBITION INVITATIONS
Participant passes will be issued to the exhibitor by the organizer based on the size of the rented exhibition space as follows:
up to 20 m2 – 5 passes
21 – 45 m2 – 10 passes
Over 45 m2 – 15 passes
The participant pass entitles the holder to be present in the exhibition area of the Estonian National Museum from October 12–16, 2026, according to the schedule provided in Section 3.
The Exhibitor is entitled to receive Builder passes from the Organizer, which allow presence in the exhibition area of the Estonian National Museum on:
October 12, 2026, from 9:00 AM to 8:00 PM
October 13, 2026, from 9:00 AM to 8:00 PM
October 15, 2026, from 4:00 PM to 10:00 PM
October 16, 2026, from 9:00 AM to 10:00 AM
The Exhibitor may order additional participant passes at a price of €5 per unit. Transferring a participant pass to other persons is prohibited.
Depending on the size of the rented exhibition space, the Exhibitor will receive free exhibition invitations from the Organizer as follows:
up to 30 m2: 75 invitations
31 m2 to 80 m2: 130 invitations
over 80 m2: 200 invitations
11. USE OF TRADEMARK
The Exhibitor has the right to use the exhibition trademark in their advertising and commercial activities only with the prior written consent of the Organizer.
12. EXHIBITION SERVICES
The Exhibitor has the right to order the construction of a standard stand or a stand with another design from the organizer. Ordering exhibition services is done according to the Organizer’s price list. The stand design plan and orders for additional services must be submitted to the Organizer no later than September 16, 2026. Orders submitted between September 17 and October 11, 2026, are subject to a 25% surcharge; orders submitted between October 12 and October 16, 2026, are subject to a 50% surcharge.
Stand design and stand construction services are provided to the Exhibitor by the Organizer or their authorized stand construction company.
Exhibitors who carry out the construction of the exhibition stand themselves or through a third party must coordinate the drawings of the stand to be built, electrical diagrams, power consumption, and suspension points with the Organizer no later than September 16, 2026.
The standard height of wall elements is 2.5 meters. The use of taller structures requires permission from the Organizer and will be treated as advertising space.
The floor load capacity of the Estonian National Museum is 500 kg/m2. On the indoor surfaces of the Estonian National Museum, it is not permitted to use fasteners, stickers, tapes, etc., that could damage the floor.
Only the Organizer has the right to install suspension points, and orders will be executed according to the technical capabilities of the Estonian National Museum.
Only the Organizer and their authorized stand construction company have the right to energize the electrical network.
The Exhibitor has the opportunity to order storage space for containers and packaging. Storing containers and packaging behind the stands is prohibited!
13. ADVERTISING
The Exhibitor has the right to use only the rented exhibition space and the internal walls of the stand to advertise their products and services.
Advertising for other persons and companies is prohibited.
Advertising materials may be attached to the organizer’s design elements only using adhesive tape and/or hanging hooks, and the exhibitor is required to remove the advertising materials before dismantling begins; otherwise, they are required to pay the organizer for the costs associated with removing the advertising.
14. PAYMENT TERMS
The Exhibitor is required to pay the exhibition participation fee, exhibition space rent, and standard stand rent according to the details and payment deadline provided in the invoice issued by the organizer. If the exhibitor has not paid the invoice by the specified deadline, they lose the right to the reserved exhibition space, and the organizer has the right to assign the vacated space to a company on the waiting list. Failure by the exhibitor to pay the invoice on time is equated to the termination of the participation agreement, and the sanctions specified in Section 15 of the participation agreement will apply.
Payment for additional services is made according to the price list and the issued invoice by the deadline shown on the invoice.
15. TERMINATION OF AGREEMENT AND CANCELLATION OF ORDERS
The exhibition participation fee is non-refundable. The Exhibitor has the right to terminate the agreement regarding other services without incurring sanctions before June 1, 2026. In the event of termination of the agreement by the Exhibitor between June 1, 2026, and August 1, 2026, the exhibitor undertakes to pay the participation fee and 50% of the rent for the exhibition space and stand. In the event of termination of the agreement by the exhibitor after August 1, 2026, the exhibitor undertakes to pay the participation fee and 100% of the rent for the exhibition space and stand.
16. FIRE SAFETY AND SECURITY
The Organizer is responsible for ensuring fire safety and general order in the exhibition area. The Exhibitor is required to comply with the fire and occupational safety requirements established in the exhibition area and the conditions set by the Organizer for the exhibition period. The Exhibitor shall arrange for the insurance of their own property. The Organizer is not responsible for the damage or loss of exhibits, structures, etc., belonging to the Exhibitor.
17. EXHIBITION WORKING ENVIRONMENT
The Exhibitor is required to implement measures to prevent the spread of noise, vibration, and radiation generated by the equipment they exhibit, and to ensure that the physical, chemical, and biological hazard parameters of their exhibits and stand environment comply with the limit values applicable in the Republic of Estonia, ensuring the safety of visitors and staff at their stand.
